Product Tip: How to restrict external users from submitting new requests in Kissflow

Let's say your organization uses Kissflow Process to manage hiring. Since hiring involves receiving applications from external users, you can use the public form feature to host the process as an online job application form (public form). External users or, in this case, potential candidates can submit their application using the public form link which initiates an item in the Hiring process and triggers the Candidate Selection workflow step. 

But an organization may decide to freeze hiring for a period of time. In such cases, you don't want external users to initiate new applications in Kissflow. You can achieve this by disabling the public form.

Let’s take a look at how to disable a public form in a process: 

  1. Navigate to the process for which you would like to disable the public form.
  2. Click More options (...) β†’ Settings β†’ Public form settings.
  3. Turn OFF the toggle next to Public form URL to disable it. Once the public form is disabled, external users will not be able to initiate new items. However, the items that are already in progress will continue to move through the workflow steps.
