What is a dataset?

A dataset is a collection of tabular data you can use in your flows.

Forms in your flows can retrieve data from datasets or use it to drive logic, such as field values and task assignments.

Common datasets examples

  • Product catalogues
  • Employee databases
  • Vendor lists
  • Customer databases
  • Authentication databases
  • Team assignments

How to use datasets in Kissflow?

You can use datasets in several ways:

Control field options
You can control the options available for a field selection. For example, if your Purchase order form is linked to your Approved vendors dataset, then users can only select a vendor from that list.

Auto-fill related fields
Use datasets to auto-populate data. In the earlier example, after you select the vendor, other fields, such as Vendor address, can automatically be filled in based on the values you have in your dataset. 

Assign tasks dynamically
Another option is to assign steps in a process based on dataset values. For example, create a dataset mapping roles to locations if each location has a different team manager.  It can be used to identify the correct approver for each submission.

What is a view?

A view is a subset of your dataset. You can create views to restrict access to certain parts of a dataset.

How to use views?

Views help control access to sensitive data. For example, if your Employee master dataset contains confidential information, you can create a view that includes only non-sensitive fields to share with specific users.
