Process settings
As an application developer, you will have default access to various data that you create. To configure or change settings for the process, click Settings on the process editor.
General settings
On the General settings tab, you can configure form titles and lock submission.

Configuring form titles
The form title is the unique name given to each item as it goes through the process workflow. To configure form titles, click the Add button (+) and arrange default system fields or form fields in the order that you want, and then click Save. Based on this format, titles are auto-generated and are displayed on top of each process form.
Lock submission
When you are working on the process or making significant changes, you may want to stop members of the process from starting new items. To lock submissions, select the Do not allow new submissions checkbox, and click Save.
After enabling this, members will not be able to initiate new items and nothing will show in the feed. However, items in progress will continue to follow the workflow. Items in draft cannot be submitted until this option is removed.

You can allow or restrict permissions to users impacting their ability to print forms, and download attachments in processes.
Print and download permissions for process in apps
You can toggle between two options: Anyone and Only admins.
Setting the permission to Anyone would allow any user to download attachments or print forms. Choosing Only admins would restrict download and print permissions only to admins.
Comment permissions for process in apps
You can allow users to mention non-participants in the comments of a process.

Example: If an item is currently at step C, its initiator and the approvers from steps A and B are participants. Everyone else is considered a non-participant.
Allowing assignees to mention non-participants
As the app admin, you can control whether assignees can mention non-participants in an item comment. This enables assignees to bring additional users into a comment thread for contextual collaboration, without adding them to the workflow.
Open the development environment and open your app. Go to the process > click Settings > Access controls > Comment permissions and enable Allow assignees to mention non-participants toggle.
You can:
Allow assignees to mention any user in this process - Assignees can mention users to whom the process is shared. These users may or may not have participated in the item so far.
Allow assignees to mention any user in this account - Assignees can mention any user in the account, even if they donโt currently have access to the process.

When a non-participant is mentioned:
They can view all past and future comments in the item.
They can react and reply only in the relevant comment thread.
They can view the itemโs data as shown at the step where they were mentioned.
They are not added as assignees or participants in the workflow.
Note:
For a non-participant to join a comment thread, they must be mentioned in the parent comment of that thread.
Use case example:
An HR manager (current step assignee) is processing a New Hire Contract item. The workflow steps are: Start > HR Review > Finance Approval > Completed.
At the HR Review step, the HR manager notices a custom clause that might need a legal check. Legal Lee is a user in the account but is not part of this HR process workflow.
Feature behavior:
The HR manager mentions Legal Lee in the comments. Because the admin enabled Allow assignees to mention any user in this account, Legal Lee appears in the list.
Legal Lee opens the item via notification.
He sees all the contract data filled in during the Start and HR Review steps. He cannot see the fields of Finance Approval step because that step hasn't happened yet.
Legal Lee leaves a reply: "Clause 4 looks good."
Public form settings
On the Public form settings tab, you can enable and disable public form for this process.
To enable, turn ON the Public form URL. Then, copy the URL and share it with anyone outside the organization.
To disable, turn OFF the Public form URL and it will be disabled. Once the public form is disabled, the external users will not be able to initiate new items. However, the items that are in progress will complete the workflow steps.

Note: CSV import is not supported on public forms on any device (desktop or mobile). This is because public forms are often embedded on external sites, and Kissflow cannot securely verify the data source or support the backend requirements for bulk uploads. Therefore, CSV import is disabled for public forms to ensure system security.
