Configuring field permissions in dataform views

This feature lets you control whether specific fields are editable, read-only, or hidden for different user roles.

What are field permissions?

You can set specific access permissions for each field within a Dataform view to enhance data security and provide more granular control. This capability extends the powerful role-based permissions in Process and Board forms to your Dataform views.

By setting permissions at the field and section level, you can ensure users see and interact with only the data relevant to their roles, safeguarding sensitive information and preventing unauthorized modifications.

Understanding access levels

You can assign one of three access levels to any field or section within a Dataform view:

  • Editable: Users with this permission can view and modify the field's content.

  • Read-only: Users can see the information in the field but are restricted from making any changes. This is ideal for critical data that should not be altered.

  • Hidden: The field and its data will be completely invisible to users. Use this for sensitive information that certain roles should not have access to.

How to configure field permissions?

Once you have created a view in your Dataform, you can configure its field permissions before sharing it with users.

  1. Open the Dataform you wish to configure.

  2. Select the specific view you want to set permissions for.

  3. Go to Field permission and click Manage on the right side panel.

  4. Within the view configuration, you will see a list of all the fields included in that view.

  5. You will find the permission settings When you hover or the fieldโ€™s name.

  6. For each field, choose the desired access level: Editable, Read-only, or Hidden.

Set permissions for an entire section

For views organized into sections, you can apply a single permission level to all fields within that section by selecting one of the permission icons at the top right corner of the section.

Sharing the view with different roles

After configuring the field-level permissions, share the view with the relevant user roles. Users in those roles can only see and interact with the fields according to the permissions you have defined.
