You can select who should be assigned when an item is sent back to a step in a process workflow.
Assign to approvers
When an item is sent back to a step, it will be assigned only to the user who previously approved it at that step. This ensures that the same person who earlier approved the item is responsible for re-evaluating it.
Assign to original assignees
When an item is sent back to a step, it will be assigned to all users and groups originally set as assignees for the step.
- Letโs say User A, User B, and Group C are assignees of a step. When an item is sent back to this step, all three will be assigned. This ensures that the task is reintroduced to the broader pool of assignees for reconsideration.
- Letโs say a new user (User D) is added to a group (Group C) that is set as assignee for a step. When an item is sent back to this step, User D will also be assigned along with the other group members in Group C.
- Letโs say User A reassigned an item to User E (who is not an original assignee in the step), and User E approves the item. Later when the item is sent back to this step, User A, User B, and Group C will be assigned (not User E).
Regardless of how many times the item is sent back to the step, only the original assignees (User A, User B, and Group C) will be assigned.
- Letโs say Round Robin or Least Load is selected as an assignment preference and User A gets assigned in the run time. Now, when an item is sent back to this step, only User A will be assigned even though the assignee pool consists of User A, User B, and Group C.
